At every tourism conference this year someone says artificial intelligence will "run hotels". Then you go back to your 15-room property. It is July, you have 14 unread messages, a departure with an open balance and a housekeeper who called in sick. Which of these does AI do today?
The short answer: it reads and writes text very well. Everything else is done by people or by ordinary software. Below, without the hype, is what is true today for a small hotel or rooms to let, and how we use it in the Bookmatrix.com AI agents.
What the "AI" you hear about actually is
When people say AI today, they usually mean a language model: a program that reads text and writes text. It understands a question in almost any language and answers naturally. But it does not "know" your property. It only knows what you give it: check-in times, parking, breakfast, the guest's reservation.
That explains both where it is useful and where it is not.
What it already does today, in practice
1. It answers the routine guest questions
"What time is check-in?" "Do you have parking?" "Can we leave our bags early?" At a small property a large share of messages are questions like these, again and again. An AI agent that knows the property facts and the reservation answers in minutes, at night too.
A calculation to give you a sense of scale: if you get 20 such messages a day and each takes 3 minutes, that is an hour a day. Over a three-month season, about 90 hours. It is an estimate, not a measurement. Use your own numbers.
2. It writes in the guest's language
A Polish guest asks in Polish, a German guest in German. The AI replies in the language the guest writes in. You keep reading and working in Greek or English. In the Bookmatrix.com PRO unified inbox, one tap also translates the incoming message into your language.
3. It drafts review replies
A reply to a review needs calm and courtesy. The AI prepares a draft for every review. You add what only you know, for example what you changed after the complaint, and publish it.
4. It helps with writing in general
Outside your property software, a general AI tool helps you write a room description, translate your house rules or summarise a long email from a travel agent. Always with one rule: you read it before you use it.
What it does not do (and rightly so)
- It does not make decisions about money. Refunds, discounts, upgrades, free late check-out: these are the owner's decisions. The Bookmatrix.com AI agent never makes up prices, room numbers, door codes, upgrades or refunds. When it does not know, it tells the guest a team member will confirm.
- It does not know what you did not tell it. If the pool closes for maintenance tomorrow and you have not written it anywhere, the AI does not know. The quality of its replies depends on the facts you give it.
- It does not replace a person when there is a problem. A guest with a broken air conditioner at 2 a.m. wants someone to come. The AI can reply that you have seen the message. The air conditioner is fixed by a person.
- It does not do your tax work. myDATA receipts, the short-term rental registry and the climate resilience fee follow rules. There you want ordinary software that does the same thing every time, not a model that writes text.
- It does not do the physical work. Cleaning, breakfast, welcoming guests. Other tools help there, such as a housekeeping app on the phone, not AI.
How it works in Bookmatrix.com
The AI agent lives inside the unified inbox. It reads the guest's message, sees their reservation (dates, room type, check-in instructions) and the property facts we set up with you, and replies in the guest's language. With PRO this also applies to messages from Booking.com and Airbnb, not only to email and your website chat.
You choose between two modes:
- Suggest: every reply stays as a draft in the inbox until you approve it. You press send.
- Auto: the agent replies on its own after a waiting time you set, for a number of messages you set. Then it hands the conversation to a person.
You can step into the conversation at any time. To see what a night with the agent looks like, read the 3 a.m. message.
How to start without risk
- Write down your property facts. Check-in and check-out times, parking, breakfast, how to get there from the port or the airport, pets, house rules. One page is enough. This is the most important step.
- Start in suggest mode. For two weeks, read every draft. You will quickly see where more information is needed.
- Move to auto mode only for the simple things. With a waiting time, so that if you are at the desk you can answer first.
- Do not put sensitive data into free tools. Card numbers, passports and guests' personal details do not belong in general chatbots.

Frequently asked questions
Will the guest notice that an AI is replying?
The reply is natural and in their language. What matters is that it is correct, and that depends on the facts you give it.
What if it gives a wrong answer?
In suggest mode nothing goes out without you. In auto mode, for anything it does not know it says a team member will confirm, and the conversation waits for you.
Do I need to be good with computers?
No. We set the agent up with you, using your property facts, and show you over the phone how to approve a reply.
