15 August, 23:00. The property is full, the last arrival is on the 23:30 ferry, and the owner is at a village festival next door. They are not calling anyone. Nobody is calling them. By 01:00 they are asleep.
It is not luck, and they do not have ten staff. Usually the answer is on their phone. We looked at what is on the home screen of a hotelier who has the season under control, and what is not.
1. The booking calendar
Not a photo of the notebook. The same calendar reception sees on the computer, open in the phone's browser. The Bookmatrix.com property management system (PMS) shows every room and every reservation, from whichever channel it came. Tap a reservation and you see the guest, the balance, the payments and the documents. Drag a stay to another room, and availability changes everywhere.
Why they sleep well: they know a booking on Booking.com closed the same date on Airbnb within seconds. They do not need to check.
2. One inbox for every message
Booking.com, Airbnb, email, reviews. Not four apps with four notifications, but one unified inbox, with each conversation next to its reservation. You reply from the phone and the answer goes back where the guest wrote. Emails and reviews are in every plan, Booking.com and Airbnb messaging in PRO.
3. Someone who answers at 3 a.m.
The hotelier who sleeps does not answer at 3:00. The Bookmatrix.com PRO AI agent does, in the guest's language, with the facts you gave it: parking, breakfast, directions. What it does not know, it does not guess. It leaves it for the morning. More in The 3 a.m. message.
4. The locks, without keys
The 23:30 ferry will be late. The guest already has in their email the code for the room door and the main entrance. With the TTLock integration, every reservation gets its own PIN on the locks, valid from check-in to check-out and deleted afterwards. If the dates change, the PIN follows.
Two properties already do this every day: at Eos on Skiathos 30 reservations, and at U boutique Experience in Alexandroupoli 249 reservations, got their PIN automatically since May 2026. More in the article on TTLock smart locks.
5. Housekeeping, live
At 13:00 the hotelier is at the beach. They open the phone: six of the day's eight rooms are "clean", two "in progress". The housekeepers mark them from their own PIN app, and reception sees which one is ready for the next arrival. No "are you done with 7?" calls.
6. The day's numbers
In the morning, with coffee, a look at the reports: occupancy, income per channel, arrivals and departures. Not to worry. To know whether next week needs a price change or everything is on track.
7. And what is not on the phone
- Three extranets for closing dates by hand.
- Photos of the notebook taken "to have them with me".
- An Excel file of bookings, last updated on Tuesday.
- The TTLock app left open, to type a code for room 4 before the guest arrives.
And most importantly, "Do not disturb" is on after midnight, with an exception for one number for real emergencies. No software does that. They do it themselves, because they know the rest works.
One system, not six apps
Calendar, channel manager, inbox, locks and housekeeping in Bookmatrix.com work on the same data. A reservation from Airbnb appears on the calendar, opens a conversation in the inbox, gets a PIN and, on departure day, becomes a room to clean. The hotelier does not have to connect anything alone. We do the setup.
